Front Desk Receptionist

SCHEDULE:
Monday – Friday 8 am -5pm 1 hour unpaid lunch (some nights/weekends required during blackout dates)
FLSA: 
Full-Time, Non-Exempt (Hourly)

Job Summary:

The Receptionist will be responsible for answering incoming calls, directing calls to appropriate staff, mail distribution and providing additional clerical support. The Receptionist is the first point of contact for the entire organization, which requires a positive attitude, professional appearance. This position will multi task a variety of front office activities.

Essential Job Responsibilities:
  • Effectively handle high call volume by efficiently answering, transferring calls to the appropriate department, personnel, or voicemail.
  • Welcoming on-site guests, determine nature of business, and announces guest to appropriate personnel.
  • Ensure main voicemail reflects office closings, special events as well as posting office closed signs.
  • Order, track and update office supply and uniform inventory list
  • Prepare and track packages for shipping.
  • Receives, sorts and distributes mail to appropriate departments, personnel.
  • Scanning, faxing, copying, e-mailing, and organizing/maintaining files
  • Assist with all functions related to servicing the customer, including but not limited to ticket processing.
  • Serves as back up to for HoosierRide Customer Service/ Data Entry
  • Support administrative and special projects requirements, as assigned
  • Ensure reception area is tidy.
  • Other duties as assigned.
 
Knowledge, Skill and Ability:
  • Skilled professional with outgoing attitude, be a team player.
  • High level of proficiency with office PC applications (i.e. MS Word, Outlook Mail, Excel, PowerPoint)       
  • Demonstrated excellent organizational skills
  • People-oriented, enjoys interacting with people and working on group projects
  • Proven job diligence, dedication and attention to detail.
  • Dependable and able to commit to work overtime on occasion.
  • Comfort and experience interfacing with various levels of staff and management, while working in a fast-paced environment.
  • Familiarity and working knowledge of general office machines (i.e. fax, copier, printers)
  • Demonstrate excellent written and verbal communication skills, including the ability to successfully communicate with the public, other employees and vendors.
 
Education and or Experience
  • High School diploma or GED
  • At least 2-3 years’ experience as an office Receptionist is required
  • Experience within the Transportation industry preferred
